Executive Assistant to the CEO & CFO
(Remote - Must live in the US)
Company and Position Overview:
Our client, in the consumer product industry, is seeking an Executive Assistant to provide high-level administrative support to the CEO and CFO. In this role, the candidate will be proactive, extremely organized, and detail oriented. The ideal candidate will have previous experience spearheading and managing projects end-to-end with little to no supervision. This role will entail collaboration with executives, managers and employees. This candidate will have a proven track record of success supporting an executive leadership team.
Objectives & Responsibilities:
· Manage the CEO’s calendar with scheduling and coordinating changes throughout the day.
· Advise CEO daily of business/personal calendars and to-do list, keeping CEO well informed of upcoming meetings and commitments.
· Provide strategic preparation to coordinate and schedule business meetings: preparing notes from previous communications for context before each meeting.
· Attend business meetings, taking detailed notes.
· Manage expense tracking every morning.
· Draft correspondence, proof & edit documents to ensure accuracy.
· Manage CEO’s inbox daily by organizing and prioritizing incoming emails based on urgency.
· Coordinate domestic and international travel arrangements; including booking flights; transportation, restaurants, preparing itineraries and agendas.
· Anticipate logistical issues on behalf of the CEO.
· Lead and manage strategic projects from initiation to completion; overseeing project execution, progress, identifying issues, administering corrective action ensuring all deliverables are met on time and within budget with minimal executive oversight.
· Prepare and deliver updates on key initiatives and projects to the CEO and other stakeholders.
· Serve as the central point of contact cross-functional projects, ensuring alignment across departments.
· Negotiate for improved contracts with leading healthcare providers and set up company benefits.
· Reviewing benefits with employees.
· Manage the workforce in Rippling.
· Oversee travel expenses, and other company policy- related approvals as needed.
· Lead and implement performance reviews and pulse surveys.
· Onboard and offboard employees; ensure that all documentation has been completed.
· Sourcing gift options; sending birthday and holiday gifts.
· Other duties as assigned.
Skills & Qualifications:
· Bachelor’s degree, preferred.
· Minimum of 2 years’ experience as a C-Level Executive Assistant
· Knowledge of local and federal compliance; ensuring compliance with all local, state, and federal policies.
· Proficiency with MS Office (Excel, Word, PowerPoint, Outlook).
· Proficiency with Google.
· Proven track record of managing complex projects or initiatives independently.
· Experience with Rippling Workforce Management System, Preferred.
· Tech savvy. The ability to troubleshoot computer issues that may arise is important in this role.
· Ability to coordinate ZOOM and TEAMS meetings.
· Can-do attitude.
· Exceptional organizational and time-management skills.
· Flexible availability (24/7)
· Strong money management skills being cost conscious when making purchases for either the CEO or company
· Strong multi-tasking skills.
· Proactive with the ability to solve problems is important in this role.
· Ability to work independently.
· Handle confidential information with the utmost discretion and confidentiality.
· Candidates to be considered must live in the United States.
