Executive Assistant / HR
Position Overview:
Our client, in the consumer product industry, has an opening for an Executive / HR Assistant. In this dual role, the Executive Assistant will provide high-level administrative support to the CEO and HR Assistance to the CFO. This role will entail collaboration with executives, managers and employees. This is a remote role with reporting into Freehold, NJ once a week.
Objectives & Responsibilities:
· Advise CEO daily of business/personal calendars and to-do list; keeping CEO well informed of upcoming meetings and commitments, providing reminders as they approach.
· Coordinate and schedule business meetings: preparing notes from previous communications for context before each meeting.
· Attend business meetings, take notes, and draft agendas.
· Manage expense tracking every morning.
· Prioritize and manage emails from the inbox.
· Draft correspondence, proof & edit documents to ensure accuracy.
· Clear out CEO’s inbox daily.
· Coordinate travel arrangements; including booking flights; transportation, restaurants, preparing itineraries and agendas.
· Anticipate logistical issues on behalf of the CEO.
· Negotiate for improved contracts with leading healthcare providers and set up company benefits.
· Reviewing benefits with employees.
· Manage the workforce in Rippling.
· Oversee travel expenses, and other company policy- related approvals as needed.
· Lead and implement performance reviews and pulse surveys.
· Onboard and offboard employees; ensure that all documentation has been completed.
· Assist with personal shopping, returns and running errands.
· Sourcing gift options; sending birthday and holiday gifts.
· Schedule regular home maintenance appointments or assist with any issues that may pop up and maintain records.
· Other duties as assigned.
Skills & Qualifications:
· Bachelor’s degree, preferred.
· Minimum of 2 years’ experience in an Executive Assistant / HR role.
· Knowledge of local and federal compliance; ensuring compliance with all local, state, and federal policies.
· Proficiency with MS Office (Excel, Word, PowerPoint, Outlook).
· Proficiency with Google.
· Experience with Rippling Workforce Management System, Preferred.
· Tech savvy. The ability to troubleshoot computer issues that may arise is important in this role.
· Ability to coordinate ZOOM and TEAMS meetings.
· Can-do attitude.
· Exceptional organizational and time-management skills.
· Flexible availability (24/7)
· Strong money management skills being cost conscious when making purchases for either the CEO or company
· Strong multi-tasking skills.
· Proactive with the ability to solve problems is important in this role.
· Ability to work independently.
· Handle confidential information with the utmost discretion and confidentiality.
· Candidates to be considered must live within an hour of Freehold, NJ.
