Executive Assistant


Company and Position Overview:

Our client, a prominent company in the consumer products industry, is seeking an experienced Executive Assistant to provide comprehensive support to the CEO, including both executive-level administrative duties and occasional personal assistance. The ideal candidate is proactive, highly organized, and detail-oriented, with a strong track record of supporting C-suite executives. Key responsibilities include complex calendar management, coordinating domestic and international travel, planning high-level meetings, handling a variety of additional tasks, and demonstrating strong tech proficiency.


Key Responsibilities:

·       Oversee the CEO’s dynamic calendar with scheduling and coordinating changes throughout the day.

·       Advise CEO daily of business/personal calendars and to-do list, keeping CEO well informed of upcoming meetings and commitments.

·       Provide strategic preparation to coordinate and schedule business meetings: preparing notes from previous communications for context before each meeting.

·       Attend business meetings, taking detailed notes.

·       Manage expense tracking.

·       Draft correspondence, proof & edit documents to ensure accuracy. 

·       Manage CEO’s inbox daily by organizing and prioritizing incoming emails based on urgency.

·       Coordinate domestic and international travel arrangements; including booking flights; transportation, restaurants, preparing itineraries and agendas.

·       Anticipate logistical issues on behalf of the CEO.

·       Serve as the central point of contact cross-functional projects, ensuring alignment across departments.

·       Sourcing gift options; sending birthday and holiday gifts.

·       Coordinate home maintenance and troubleshoot issues.

·       Other duties as assigned.


Skills & Qualifications:

·       Bachelor’s degree, preferred.

·       Minimum of 2 years’ experience as a C-Level Executive Assistant.

·       Proficiency with MS Office (Excel, Word, PowerPoint, Outlook).

·       Proficiency with Google.

·       Proven track record of managing complex projects or initiatives independently.

·       Tech savvy. The ability to troubleshoot computer issues that may arise is important in this role.  

·       Ability to coordinate ZOOM and TEAMS meetings.

·       Impeccable verbal and written communication skills. 

·       Can-do attitude. Friendly demeanor. Strong customer service skill set.  

·       Exceptional organizational and time-management skills.

·       Flexible availability (24/7)

·       Strong money management skills being cost conscious when making purchases for either the CEO or company.

·       Strong multi-tasking skills. 

·       Proactive with the ability to solve problems is important in this role.

·       Ability to work independently.

·       Handle confidential information with the utmost discretion and confidentiality.

·       Candidates to be considered must live within an hour of Freehold, NJ.
