Executive / Personal Assistant - NJ:
Position Overview:
In this blended role, the Executive / Personal Assistant will play a pivotal role assisting with the business and personal life of the CEO. This role requires a proactive, highly organized individual living in or near Freehold, NJ.
Executive Assistant Objectives & Responsibilities:
· Advise CEO daily of business / personal calendars and to-do list; keeping CEO well informed of upcoming meetings and commitments, providing reminders as they approach.
· Coordinate and schedule business meetings: preparing notes from previous communications for context before each meeting.
· Attend business meetings, take notes, and draft agendas.
· Manage expense tracking every morning.
· Prioritize and manage emails from inbox.
· Draft correspondence, proof & edit documents to ensure accuracy.
· Clear out CEO’s inbox daily.
· Coordinate travel arrangements; Including booking flights, transportation, restaurants, preparing itineraries and agendas.
· Anticipate logistical issues on behalf of the CEO.
· Take notes during calls, reviewing and giving high-level points after the call.
Personal Assistant Objectives & Responsibilities:
· Assist with personal shopping, returns and running errands.
· Sourcing gift options; sending birthday and holiday gifts.
· Organizing wardrobes and styling business attire.
· Plan travel, pack bags & prepare outfits for trips.
· Schedule regular home maintenance appointments or assist with any issues that may pop up and maintain records.
Skills and Qualifications:
· Bachelor’s degree preferred.
· Minimum of 2 years’ experience in a similar role.
· Proficiency with MS Office.
· Ability to coordinate ZOOM and TEAMS meetings.
· Can do attitude.
· Tech savvy. Ability to troubleshoot computer issues that may arise.
· Exceptional organizational and time-management skills.
· Flexible with availability (24/7)
· Strong money management skills being cost conscious when making purchases for either the CEO’s business or personal.
· Strong sense of style with the ability to prepare business outfits and pack bags for trips.
· Strong multi-tasking skills.
· Proactive with the ability to solve problems.
· Ability to work independently.
· Handle confidential information with the utmost discretion and confidentiality.
· Must live local to Freehold, NJ
Additional Details:
· Remote role with the ability to travel to Freehold, NJ 1-3 days a week is required.
