Executive / Personal Assistant:


Position Overview:

In this blended position, the Executive / Personal Assistant will play a pivotal role assisting with the business and personal life of the Co-Founder of a well-established and fast-growing company in the consumer product industry. This role requires a proactive, highly organized individual who is numbers-oriented and lives in or near Charleston, SC.  This role will start out Remote and will move into an In-Office / Hybrid role within a few months.


Executive Assistant Objectives & Responsibilities:

·       Advise the Co-founder of daily business / personal calendars and to-do list; keeping the Co-founder well informed of upcoming meetings and commitments, providing reminders as they approach. 

·       Coordinate and schedule business meetings:  preparing notes from previous communications for context before each meeting. 

·       Support managing team.

·       Attend business meetings, take notes, and draft agendas.

·       Project tracking and organization (Slack, Notion, G-Suite, etc.)

·       Organize taxes, finances, and legal documents.

·       Manage expense tracking.

·       Prioritize and manage emails from inbox.

·       Draft correspondence, proof & edit documents to ensure accuracy.

·       Coordinate travel arrangements; Including booking flights, points hacking, transportation, restaurants, preparing itineraries and agendas.

·       Anticipate logistical issues on behalf of the Co-founder.

·       Take notes during calls, reviewing and giving high-level points after the call.


Personal Assistant Objectives & Responsibilities:

·       Managing calendars for children’s events, school, extracurricular activities, etc.

·       Assist with errands, picking up coffee, food, dry-cleaning etc.

·       Sourcing gift options; sending birthday cards and holiday gifts.

·       Managing travel arrangements for family travel.

·       Schedule regular home maintenance appointments or assist with any issues that may pop up and maintain records. 

 

Skills and Qualifications:

·       Bachelor’s degree required; MBA preferred.

·       Minimum of 2 years’ experience in a similar role.

·       Proficiency with MS Office

·       Strongly proficiency with Excel (Pivot Tables, SUMIF etc.)

·       Ability to coordinate ZOOM and TEAMS meetings.

·       Can do attitude.

·       Tech savvy. Ability to troubleshoot computer issues that may arise. 

·       Exceptional organizational and time-management skills.

·       Flexible with availability (24/7)

·       Strong money management skills being cost conscious when making purchases for either the Co-founder’s business or personal.

·       Strong multi-tasking skills. 

·       Proactive with the ability to solve problems.

·       Ability to work independently.

·       Handle confidential information with the utmost discretion and confidentiality. 

·       Must live local to Charleston, SC.


Additional Details:

·       Position starts out as a remote role with the ability to travel to Charleston, SC 1-3 days a week. After a few months, the position will become hybrid (in-office 4 days a week,1 day remote).
